Position Summary

Responsible for lifecycle management of equipment resources on campus, including receipt, processing and de-accession. Oversees events coordination and space reservations in various spaces on campus, primarily the Ballroom. Supports the Assistant Director of Operations & Administration with administration and operational functions. Hires and supervises student employees.

Responsibilities

  • Inventory Processing - Manages processing of new equipment for various departments on campus. Works with student employees to process and prepare resources for use. Enters new equipment into inventory databases and maintains records. Ensures accurate and timely distribution of resources.
  • Equipment Maintenance & Repair – Works closely with the Associate Director of Systems Integration, AV Tech Staff and Media Center Managers to process equipment for repair. Interfaces with repair companies on shipping/receiving, billing and payment. Tracks progress and provides status updates to requisite staff.
  • Inventory Management & Auditing – Manages IRFM’s portfolio of inventory assets across campus. Conducts annual inventory of all assets tracked by IRFM. Assembles, trains and oversees a team of student employees to assist with this process. Maintains and updates resource records.
  • Event Management - Assists the Assistant Director of Operations & Administration in supporting internal and external events in the Ballroom. Oversees and coordinates services such as furniture setup, housekeeping needs, security needs, etc. Helps coordinate events such as the annual student holiday party and Contractor Appreciation.
  • Space Reservations – Coordinates space reservations via EMS for internal clients. Reviews and approves space requests for SAIC community needs.
  • Administrative and Facilities Operations – Responsible for the setup and operation of the IRFM phone line, text message system and email communications. Provides a high level of customer service. Responds to campus needs and coordinates requests for services. Responsible for PTO reporting, maintaining up to date staff contact lists. Manages cellphones and radios for IRFM, housekeeping, Security and Engineering.
  • Student Employee Supervision – Provides leadership to Student Employees in the area of inventory and equipment processing, and occasionally the IRFM office assistants. Responsible for hiring, assigning/directing work, evaluating performance and managing job duties and expectations.

Qualifications

  • Bachelor’s degree or equivalent professional experience
  • Excellent attention to detail, problem solving and data gathering skills.
  • Administrative software knowledge including Excel, Word, and scheduling software.

This position is part of a bargaining unit represented by AFSCME Council 31.
